Booking & Payment
A 50% non-refundable deposit is required to secure your booking. The remaining balance is due either the day before or on the day of the photo session or event.
Your booking is only confirmed once the deposit has been received. Deposits are non-refundable but may be transferred to a new date if rescheduling occurs within the time frames outlined below.
Please note that editing and image delivery will only begin once full payment has been received. Any delay in payment may result in a delay in receiving your final images.
Session Timing & Overtime
Please arrive on time for your session. If you arrive late, the lost time will be deducted from your allocated session time.
Any time spent beyond the session duration included in your chosen package will be charged as additional time at the current hourly rate.
For Company Headshots captured at your Office a R1,000 studio set-up fee applies to bookings of 1–5 staff members. For bookings of 6 or more staff members, the studio set-up is included at no additional cost. For bookings of 1–5 staff members, you are also welcome to visit my studio for your headshot session, in which case the R1,000 on-site studio set-up fee will not apply.
Please note that the Quoted package rate remains unchanged should one or more participants be unable to attend on the day of the scheduled session. If the number of participants changes prior to the scheduled session, a revised quotation can be issued if necessary
Rescheduling & Cancellations
Rescheduling: Clients may reschedule their session once, provided at least two business days’ notice is given and the new date is subject to availability.
Rescheduling with less than two business days’ notice may incur a rescheduling fee.
Cancellations: Cancellations within 1 business week forfeit 50% of the deposit. Cancellations within 2 business days forfeit 100% of the deposit.

Wardrobe and Grooming
Your outfit and presentation play a big part in how your portraits turn out, so please take a moment to double-check your clothing and grooming before we start. Katharine Linder Photography can’t be responsible for details like open buttons, uneven collars, or hair out of place that appear in your final images, so a quick mirror check beforehand is always worth it!
Image Selection & Delivery
For individual headshot sessions, clients will receive a proof gallery to select their preferred images for editing. Once selections are made, the final edited images will be delivered within 7 days.
For team or group headshots, the final edited gallery will be delivered within two weeks of the session date.
For corporate events, the final edited gallery will be delivered within two weeks of the event date.
Expedited delivery may be available at an additional cost but must be arranged in advance.
Travel
For all Corporate Headshots Packages (excluding the Essential Package, which is photographed exclusively in my Claremont studio), travel within a 25 km radius of Claremont, Cape Town is included.
For locations beyond the included 25 km travel allowance, an additional travel fee of R6.00 per km will apply, calculated on the additional distance travelled.
Please note that the included travel allowance relates to distance only and does not necessarily include the travel time required to reach the location. Where extended travel time, limited accessibility, or multiple locations are involved, an additional charge may apply.
Any applicable travel charges will always be discussed and agreed upon before your booking is confirmed.
Image Use & Privacy
The client receives a personal-use licence for the images. Katharine Linder Photography retains full copyright and may use selected images for promotional purposes, including website, portfolio, and social media, unless the client requests otherwise in writing in advance.
Editing & Retouching
All delivered images include standard colour correction and light retouching to maintain a professional and polished look.
Requests for additional or detailed retouching can be arranged at an additional fee.
Liability
In the unlikely event of equipment failure, illness, or unforeseen circumstances beyond control, Katharine Linder Photography will make every effort to reschedule the session/event or refund any payments made.
While every care is taken during the session and post-production, Katharine Linder Photography cannot be held liable for circumstances beyond reasonable control.
Acceptance of Terms
Booking your session means you’ve read and agreed to the Terms & Conditions outlined by Katharine Linder Photography.By booking a session, the Client acknowledges that they have read, understood, and agree to these Terms & Conditions.
